The International Fuel Tax Agreement (IFTA) is a cooperative agreement among U.S. states and Canadian provinces that simplifies fuel tax reporting for interstate motor carriers. Instead of filing separate fuel tax returns in each jurisdiction you operate, IFTA allows you to file one quarterly report with your base jurisdiction.
You need an IFTA license if you operate a qualified motor vehicle that:
- Has two axles and a gross vehicle weight or registered gross vehicle weight exceeding 26,000 pounds, OR
- Has three or more axles regardless of weight, OR
- Is used in combination and the weight exceeds 26,000 pounds gross vehicle or registered gross vehicle weight
- AND travels across state or provincial borders
IFTA quarterly reports are due on the last day of the month following each quarter:
- 1st Quarter (Jan-Mar): Due April 30
- 2nd Quarter (Apr-Jun): Due July 31
- 3rd Quarter (Jul-Sep): Due October 31
- 4th Quarter (Oct-Dec): Due January 31
Missing these deadlines can result in penalties, interest charges, and potential suspension of your IFTA license.
To file IFTA returns, you must maintain detailed records for at least four years:
- Fuel Purchase Records: Date, location, gallons purchased, fuel type, seller information, vehicle identification
- Distance Records: Trip sheets, GPS logs, ELD data showing routes traveled
- Mileage Information: Beginning and ending odometer/hubodometer readings, total miles per jurisdiction
- Vehicle Information: VIN, unit number, date placed in service, date removed from fleet
